Elected Positions on the Executive Committee


PRESIDENT

  • Preside at all PTA, board of directors and executive committee meetings;
  • Coordinate the work of the officers and committees of the PTA;
  • Be a member ex officio of all committees except the nominating committee;
  • Review bank statements monthly;

VICE PRESIDENT

  • Act as an aide to the President;
  • Perform the duties of the President in the absence or inability of the officer to serve;
  • Perform other duties as may be prescribed by the bylaws or board of directors

VP FUNDRAISING AND DEVELOPMENT

  • Help identify annual fundraising goals and priorities;
  • Lead the annual Dolphin Drive campaign (November) and support additional annual fundraisers throughout the year;
  • Coordinate with volunteers, sponsors, and school leadership on fundraising activities;
  • Attend monthly PTA meetings and board meetings.
  • Time Commitment: ~2-4 hours a month, with a greater commitment during the month of the Dolphin Drive (10 hours)

VP COMMUNICATIONS

  • Promote communication between parents and school staff
  • Keep parents informed on PTA and school events through a variety of platforms including this website, Facebook, and the listserv
  • Create flyers, posters, letters in support of all PTA projects
  • Seek language translators and work with them to provide translations for key communications
  • Help maintain PTA records to aid in institutional memory, giving future PTA boards a clear roadmap

VP MEMBERSHIP

  • Develop and implement a year-round membership recruitment and retention plan;
  • Create and distribute membership promotional materials and sign-ups;
  • Promote PTA membership, events, and engagement opportunities to school staff and families;
  • Maintain accurate membership records and provide regular membership reports to the PTA Board;
  • Attend monthly PTA meetings and board meetings;
  • Time Commitment: ~1-3 hours a month, with a greater commitment at the beginning of the year

VP EQUITY

  • Help ensure all students at Takoma Park Elementary have access to opportunities and resources needed to learn and thrive;
  • Collaborate with PTA leadership and school administration on equity-centered initiatives;
  • Review PTA communications to ensure inclusivity and accessibility;
  • Time Commitment: ~1-2 hours a month

TREASURER

  • Have custody of all funds of this local PTA
  • Keep a full and accurate account of receipts and expenditures including reconciliation of the bank statement each month;
  • Make disbursements as authorized by the president or board of directors in accordance with the budget adopted by this local PTA;
  • Present a written financial statement at every meeting of the executive committee, the board of directors and the general membership;
  • Make a full report before the newly elected officers officially assume their duties;
  • Be responsible for preparing and filing all necessary tax forms and submitting a copy to the Maryland PTA office within 30 days of filing;
  • Time Commitment: ~1-3 hours a month, with a greater commitment during December financial review

MEMBER SECRETARY

  • Record the minutes of all meetings of this local PTA
  • File all records
  • Be prepared to read the records of the previous meeting
  • Time Commitment: ~1 hour a month

  • Record the minutes of all meetings of the board of directors and executive committee;

Committee Chairs

DELEGATES TO MCCPTA

  • Each school is allowed two representatives, plus their PTA president to be delegates to the Montgomery County Council Parent Teacher Association (aka the District PTA).
  • Delegates attend monthly meetings in Rockville to hear updates on budgets, curriculum, district-wide initiatives, etc. and to vote on resolutions that petition the Montgomery County Council, the Montgomery County Public Schools staff, and the MCPS board of education.
  • Delegates report back to the TPES PTA on any relevant information; gain feedback from our parents; and take that information back to the district PTA
  • Delegates can also participate in cluster meetings with our neighboring schools for issues that are relevant to us, such as overcrowding.

NAACP REPRESENTATIVE

  • Attend monthly NAACP Parents’ Council meetings, or ensure TPES representation at meetings;
  • Serve as a liaison between the PTA and the NAACP Parents’ Council;
  • Maintain active membership with the NAACP.
  • Time Commitment: ~1-2 hours a month

EVENTS COORDINATOR (NEW!)

  • Lead the planning and coordination of PTA events throughout the school year;
  • Develop event timelines, volunteer needs, and logistics plans for PTA-sponsored activities;
  • Coordinate with school staff, PTA leadership, and volunteers to ensure successful event execution;
  • Help promote events through flyers, social media, newsletters, and family outreach;
  • Oversee event setup, breakdown, and day-of coordination;
  • Time Commitment: ~5 hours a month

AFTER-SCHOOL CLUBS COORDINATOR

  • Coordinate after-school programming for the fall and spring;
    Research and identify credible, reliable organizations and instructors to provide programming;
  • Collaborate with school leadership and PTA leadership on scheduling and logistics;
  • Promote after-school programs and registration opportunities to families;
  • Time Commitment: About 5-10 hours in the fall & 5-10 hours in the spring

ROOM PARENT COORDINATOR

  • Coordinate and support room parents for each classroom;
    Help establish consistent communication between room parents, teachers, and families;
  • Oversee classroom WhatsApp chats and parent communication groups;
  • Manage PTA-wide announcements shared through classroom communication channels;
  • Time Commitment: ~5 hours a month

READ-A-THON COMMITTEE

  • Plan and coordinate the school’s annual Read-a-Thon fundraiser and literacy initiatives;
  • Strongly consider helping TPES move from manual read-a-thon tracking to a platform (read-a-thon.com, etc);
  • Help develop reading goals, participation incentives, and promotional materials;
  • Celebrate student participation and support a school-wide culture of reading and literacy;
  • Time Commitment: ~10-20 hours during Read-a-thon fundraiser

SPANISH LANGUAGE LIAISON (NEW!)

  • Support Spanish-speaking families by helping facilitate communication between the PTA and school community;
  • Assist with translating PTA communications, flyers, newsletters, and announcements into Spanish;
  • Help coordinate interpretation support during PTA meetings and events;
  • Time Commitment: ~2-3 hours a month

AMHARIC LANGUAGE LIAISON (NEW!)

  • Support Amharic-speaking families by helping facilitate communication between the PTA and school community;
  • Assist with translating PTA communications, flyers, newsletters, and announcements into Amharic;
  • Help coordinate interpretation support during PTA meetings and events;
  • Time Commitment: ~2-3 hours a month

MERCH/SWAG COORDINATOR (NEW!)

  • Oversee the inventory, ordering, and distribution of PTA merchandise and school spirit items;
  • Manage merchandise sales at school and PTA events, including setup, volunteers, & payment;
  • Collaborate with the fundraising and events committees to support promotional efforts;
  • Track inventory, sales, and distribution of merchandise;
  • Help PTA set up an online store and move away from managing inventory ourselves, towards a platform where people can buy directly (Printful, etc);
  • Time Commitment: ~1 hour a month, with a greater commitment to help get an online store up and running

FOOD FOREST/GARDEN COMMITTEE

  • Support the maintenance and growth of the school atrium and garden spaces;
  • Help organize gardening club, planting activities, and educational opportunities;
  • Time Commitment: ~5 hours a month during the spring

NOMINATING COMMITTEE

  • Committee of three active PTA members
  • Serves for two months prior to the elections for next year’s PTA officer positions
  • Recruits PTA members to run for the elected officer positions
  • Presents a slate of nominated individuals to the PTA board
