Elected Positions on the Executive Committee

PRESIDENT

  • Preside at all PTA, board of directors and executive committee meetings;
  • Coordinate the work of the officers and committees of the PTA;
  • Be a member ex officio of all committees except the nominating committee;
  • Review bank statements monthly;

VICE PRESIDENT

  • Act as an aide to the President;
  • Perform the duties of the President in the absence or inability of the officer to serve;
  • Perform other duties as may be prescribed by the bylaws or board of directors

VP FUNDRAISING AND DEVELOPMENT

  • Organize events and implement programs to raise funds for the PTA;
  • Seek opportunities to raise funds through grants
  • Prepare materials, like flyers, promoting fund raising efforts

VP COMMUNICATIONS

  • Promote communication between parents and school staff
  • Keep parents informed on PTA and school events through a variety of platforms including this website, Facebook, and the listserv
  • Create flyers, posters, letters in support of all PTA projects
  • Seek language translators and work with them to provide translations for key communications
  • Help maintain PTA records to aid in institutional memory, giving future PTA boards a clear roadmap

VP MEMBERSHIP

  • Solicit and encourage membership;
  • Organize events and opportunities to grow the PTA’s membership;
  • Prepare materials, such as forms and fliers, pertaining to membership solicitation;
  • Keep an accurate and updated member list;
  • Prepare dues forms for Maryland PTA and MCCPTA monthly

VP EQUITY

  • Overseeing initiatives related to equity, climate, instruction, and advocacy;
  • Streamlining and coordinating school volunteer and resource needs for the school and teachers;
  • Work to ensure all students at Takoma Park Elementary can learn and thrive;
  • Review all outgoing public communications from PTA for inclusivity

TREASURER

  • Have custody of all funds of this local PTA
  • Keep a full and accurate account of receipts and expenditures including reconciliation of the bank statement each month;
  • Make disbursements as authorized by the president or board of directors in accordance with the budget adopted by this local PTA;
  • Present a written financial statement at every meeting of the executive committee, the board of directors and the general membership;
  • Make a full report before the newly elected officers officially assume their duties;
  • Be responsible for preparing and filing all necessary tax forms and submitting a copy to the Maryland PTA office within 30 days of filing;

MEMBER SECRETARY

  • Record the minutes of all meetings of this local PTA
  • File all records
  • Be prepared to read the records of the previous meeting

EXECUTIVE SECRETARY

  • Record the minutes of all meetings of the board of directors and executive committee;
  • File all records;
  • Be prepared to read the records of the previous meeting

DELEGATES TO MCCPTA

  • Each school is allowed two representatives, plus their PTA president to be delegates to the Montgomery County Council Parent Teacher Association (aka the District PTA).
  • Delegates attend monthly meetings in Rockville to hear updates on budgets, curriculum, district-wide initiatives, etc. and to vote on resolutions that petition the Montgomery County Council, the Montgomery County Public Schools staff, and the MCPS board of education.
  • Delegates report back to the TPES PTA on any relevant information; gain feedback from our parents; and take that information back to the district PTA
  • Delegates can also participate in cluster meetings with our neighboring schools for issues that are relevant to us, such as overcrowding.

HEALTH AND WELLNESS COMMITTEE CHAIR

  • This is one of our largest initiatives at TPES, including our “Move More. Sit Less.” campaign
  • Oversee a large committee of parents committed to more physical activity inside and outside of the classroom, as well as increased access to healthier food options for all students
  • Work with the committee on presentations to the PTA; advocacy opportunities at the school and district level; and grants to support our initiative

BOOK FAIR COMMITTEE CHAIR

  • Work with Bookworm Central, a local Northern Virginia-based book fair company
  • Ensure that the Media Center is reserved through MCPS
  • Create a schedule of volunteers to set-up, clean-up, and work each day of the event
  • Organizing food truck / evening social event the week of the on-site Fair
  • Setting up and breaking down the Book Fair
  • Hanging up pre-fair marketing signs
  • Helping with collecting and disbursing the financial gains from the Fair

STAFF APPRECIATION COMMITTEE CHAIR

  • Lead a committee that manages several staff appreciation events throughout the year, including back to school lunch and dinner; parent teacher conference dinner; and staff appreciation week
  • Work with the PTA exec committee (particularly treasurer and VP for Fundraising) to get items donated and, when purchased, reimbursed
  • Find ways to continue staff appreciation throughout the year, such as replacing Keurig machine if it breaks; leaving leftover bake sale items in the staff lounge, etc.

SOCIAL SERVICES COMMITTEE CHAIR

  • Work with small team of volunteers to support the school guidance counselor with programs such as winter coat drives and delivery of holiday meals
  • Collect snacks to keep in the counselor’s office
  • Brainstorm ways to serve the families in our school community

Additional Volunteers are Needed to Coordinate the Following Events & Projects

AFTER-SCHOOL CLUBS COORDINATOR

  • Coordinate both parent-run and vendor provided afterschool clubs
  • Ensure that vendors sign contracts
  • Coordinate classroom and space/room reservations
  • Manage team of volunteers that sends home registration forms and enrolls students in clubs
  • Point person for any parental questions

ROOM PARENT COORDINATOR

NOMINATING COMMITTEE

  • Committee of three active PTA members
  • Serves for two months prior to the elections for next year’s PTA officer positions
  • Recruits PTA members to run for the elected officer positions
  • Presents a slate of nominated individuals to the PTA board
